OPERATING RECORDS
Keep payroll information controlled from instruction to accounting record.
Payroll-related accounting depends on authorised information, clear period boundaries and careful handling of personal data. We can help maintain agreed payroll schedules and accounting records while separating preparation from employment decisions, approval and payment. The precise service and relevant local requirements are assessed before acceptance.
Establish authorised inputs
We identify the people permitted to provide salary changes, attendance information, deductions and other relevant instructions. The source, period and approval status of each input should be visible. Unconfirmed changes are referred back rather than incorporated on the strength of an informal message. Access is limited to the information required for the work.
Prepare and reconcile the records
The scope may include organising payroll calculations supplied through the agreed process, preparing accounting schedules and comparing approved payroll totals with recorded payments. Differences and missing evidence are referred for resolution. Any tax, employment-law or statutory calculation service must be expressly scoped and supported by appropriate current professional advice.
Preserve a controlled handover
The output identifies the relevant period, version and approval status. Payment release remains with the authorised parties. Records should not be distributed through public verification pages or unrestricted links. We agree the retention and access arrangements applicable to the engagement, including the handling of corrections after a period is completed.
Common questions
Does this include deciding salaries or employment entitlements?
No. Those decisions remain with the employer and its authorised advisers. Administrative support does not create authority to change employment terms.
