OPERATING RECORDS
Make responsibilities and review points explicit.
Finance processes become harder to manage when the same action is handled differently by different people. We review agreed workflows to identify unclear responsibilities, missing evidence and inconsistent review points. The assignment produces practical observations and recommendations within its scope; it is not a guarantee against error or misconduct.
Map the current process
We discuss how a transaction or report moves from initiation to approval and recording. Relevant documents, system roles and handovers help explain what actually happens. The review focuses on the selected processes rather than assuming a whole-organisation assessment. Informal workarounds are considered alongside documented procedures.
Examine evidence and authority
Questions may include who can create or amend records, who approves exceptions and how a completed check is evidenced. We distinguish an absent control from a control that exists but is not consistently followed. Recommendations consider team capacity and available software. A theoretical process that nobody can maintain is not a useful result.
Agree the practical next actions
The handover can include a process map, observations, proposed responsibilities and an action register. Management decides which recommendations to adopt and provides the resources and authority for implementation. Follow-up testing, internal audit, forensic work or independent assurance requires a separate agreed scope where applicable.
Common questions
Can a small team still improve its controls?
Yes. The review can consider workable approval and review arrangements proportionate to the team. It should identify constraints rather than pretend every organisation can separate every task.
